Checked by Durham Lifting is a thorough-examination and asset-management system used by Durham Lifting Ltd and its customers. This page explains what it stores about people, why, where it is held and who can see it.
Most of what the system holds is about equipment — chains, slings, cranes, their test history and their certificates. That is not personal data. This policy covers the parts that are about people.
Who is responsible
Checked by Durham Lifting is operated by GS and SG Holdings Ltd, a company registered in England and Wales.
Durham Lifting Ltd decides what goes into its own register and who at its customers may see it. For that information Durham Lifting is the data controller and GS and SG Holdings Ltd processes it on their instructions.
What is stored about people
| Category | What it is | Why |
|---|---|---|
| Account details | Name, email address, telephone number, and the role granted to you | To sign you in and decide what you are allowed to see and do |
| Site information | Site names, addresses and postcodes where equipment is kept | So engineers can find the equipment and plan a visit |
| Examination records | The name and competency reference of the engineer who examined an item, and their signature image where one is held | A thorough examination report must identify the competent person who carried it out |
| Faults and pre-use checks | Who reported a fault or completed a check, when, any free-text notes, and any photo attached | To get the fault to the right people and keep a record of what was found |
| Activity log | A record of significant actions — who changed what, and when — kept against your account | Accountability. Inspection records carry legal weight, so changes to them are traceable |
Free-text notes and photographs are the ones to be careful with. The system does not ask for personal information in them, but anything typed into a note or captured in a photo is stored as written. Please do not record anything about a person that is not needed to explain the condition of the equipment.
What is not collected
- No advertising or marketing trackers, and no third-party analytics
- No location tracking — a site’s address is recorded, your device is not
- No payment card details; the system does not take payments
- No special category data (health, biometrics, and so on) is asked for
Where it is held
The application runs on a server in Manchester, United Kingdom. The database and sign-in service are provided by Supabase and hosted in the European Union (Frankfurt). Email sent by the system (sign-in links, notifications and reminders) is delivered by Resend, an email delivery service based in the United States.
These providers process data on our behalf under contract and are not permitted to use it for their own purposes.
Who can see your information
- Durham Lifting staff, according to their role — office staff see the customers they work with, engineers see the jobs assigned to them
- People at your own organisation who have been given a login, limited to your organisation’s own equipment, and further limited to particular sites where your administrator has set that up
- Nobody else. Your organisation’s records are not visible to other customers, and are not sold, shared or used for marketing
How long it is kept
Examination and inspection records are kept for as long as the law requires them to be available, and generally for the working life of the equipment — a certificate that cannot be produced later is of no use to anyone.
Account details are kept while the account is active. When an account is closed, the login is removed; the examination records it produced remain, because they are records of work done on equipment rather than records about you.
Your rights
You can ask for a copy of what is held about you, ask for it to be corrected, ask for it to be deleted, or object to how it is used. Where Durham Lifting is the controller, we will pass your request to them and support them in answering it.
To make a request, or to delete your account, see Delete your account or use the contact details below.
If you are not satisfied with how we have handled a request, you can complain to the Information Commissioner’s Office at ico.org.uk.
Cookies
Checked by Durham Lifting sets only the cookies it needs to work: one to keep you signed in, and one to remember which view you last chose. There are no advertising or analytics cookies, so there is no consent banner.
